Getting started

1. Create your account and sign in

Maine Stockroom uses passwordless email codes. Enter your email, enter the code sent to you, then continue to your workspace.

If your device supports passkeys, Maine Stockroom will offer one after sign-in. Passkeys are faster and more resistant to phishing than emailed codes.
Security

2. Secure your account

Open the Security Center and add a passkey using your device fingerprint, face, screen lock or device PIN. You can add more than one as a backup.

Never share emailed sign-in codes or the private site-owner PIN. Give each employee their own account instead of sharing a login.
Setup

3. Create and verify your business workspace

Choose your business type, enter your current liquor-license information, and complete your business profile. Maine Stockroom uses this information to control the correct retailer, wholesaler or on-premise workflows.

If your license information changes, update it in the workspace. Connected trade relationships return to review so current license details can be checked again.
Core operations

4. Track inventory and stock counts

Search products by name, Maine item code or UPC. Start tracking the products you carry, then record purchases, sales, counts, damage or loss. Set a reorder point for each product.

Inventory and reports are only as accurate as the activity entered or imported. Use regular physical counts to keep on-hand quantities reliable.
Maine-specific

5. Use the dated Maine Spirits catalog

Use the catalog to check current item codes, sizes, state retail prices, agent costs and monthly specials. Maine Stockroom records the source month and checks official price files daily.

Purchasing

6. Restock and compare buying options

Review items at or below their reorder levels, adjust suggested quantities, save order sheets and use the Buying Desk to compare products, specials, price-watch items and supplier services.

B2B network

7. Connect and communicate through Trade Network

Use a supplier connection code to request a trade relationship. After approval, use private messages, product-linked questions, order-linked conversations, secure files, announcements and notification settings.

Orders

8. Create and manage business orders

Orders between connected businesses use the current catalog and approved relationship. Review status history, advance eligible orders and keep product/order conversations attached in Trade Network.

Paperwork

9. Invoices and payment records

Completed business orders can generate invoices. Keep item totals, deposits, taxes and recorded payments together. Recording a payment documents it; Maine Stockroom does not move liquor-order funds.

Reporting

10. Use reports and activity history

Review inventory value, purchases, sales, low-stock counts, product activity and report packets. Download supported records for bookkeeping or operational review.

Data

11. Import and export supported records

Use supported CSV formats to move inventory and activity records without retyping every line. Review imported data before relying on reports.

Permissions

12. Add your team safely

Business owners can invite managers, staff and viewers. Each person signs in with their own email. Remove access promptly when someone leaves the business.

AI

13. Ask Maine Stockroom AI

Use the floating Ask AI button in your workspace. Try questions such as “What should I reorder today?”, “Which current specials affect my inventory?”, “Which orders need attention?” or “How do I use the Trade Network?”

The AI is read-only. It analyzes and explains your business data but does not silently change inventory, place orders, record payments or send messages.
Compliance resources

14. Use Maine liquor laws & licensing resources

The Laws & Licensing center links to Title 28-A, BABLO licensing, BELLS, administrative rules, seller/server training, spirits operations and Bottle Bill resources. Monitored official pages are checked automatically for changes.

Membership

15. Manage your subscription

One business membership covers the business workspace and its team. Use the Subscription page to start or manage membership and open the Stripe billing portal when available.

Site owner only

16. Private owner testing

The site owner has a separate protected testing sign-in. It is not a customer login and is restricted to the private test workspace.

Do not share the owner PIN. Customer businesses should always use normal Maine Stockroom accounts and individual team access.
